Application Procedure

1. Positions Available

2. How to Apply

*Applications or inquiries on Saturday and Sunday will be received or responded on Monday.

Advance Registration
  • All applicants are required to complete an advance registration. Please be advised that any applications without advance registration are not acceptable.
  • A confirmation email will be sent automatically after completion of advance registration. The "Registration Number" shown in the email should be written down on Form A of your application documents.
  • Up to 5 job opportunities can be chosen for your application. Please specify Entry IDs from the dropdown list.
  • The Entry IDs you choose and priority order in your advance registration should be given exactly the same in Form A. If you wish to change Entry IDs and priority order, please go through advance registration once again.
     
Online Application
  • Applications should be made online via JREC-IN portal whose links can be found here. Any applications by post or email are not acceptable.
  • Please ensure your application includes all the required forms, following the instructions specified below. If the submission requirements are not met, you application will not be received. 
  • Upon uploading your documents, you will receive a notification email automatically sent from JREC-IN. Please make sure to visit JREC-IN website and check if your application status shows *received*.  If not, e.g. *not received*, your application is not successfully received for any reason. 
  • Even if you select multiple Entry IDs, please apply only one time on the JREC-IN application page that includes the Entry ID of your first selection.

Application Forms
  • All applicants must complete the application form below in accordance with the following notes. Any applications that do not follow these instructions are not acceptable.
  • A template package for application documents (A-K and L) is available here (MS-Word).
  • An application must be a single PDF file without compress, including reprints of papers (Form E) and recommendation letters (Form I) if available.
  • File name should be “(Registration Number)-(Name).pdf,” such as “0999-0999-SansouTarou.pdf.”
  • The size of application document must be smaller than 20 MB; otherwise, JREC-IN Portal may decline uploading the file.

  • Please fill in "Registration Number" found in the e-mail for confirming advance registration sent from AIST.
  • Entry IDs should be identical ones and in the same priority order as described in the confirmation email.

  • Information in this format should be identical to ones in the confirmation email.

List of publications and other achievements
  • Please do not change categorization and file format.

Summaries of M. S. (if applicable) and Ph. D. degree
  • No more than 1-page each, including figures.
  • For applicants who are scheduled to earn Ph. D. degree, summary of current research activities for Ph. D. degree can be submitted.
  • If you have written a master's thesis, please attach a summary of the master's thesis.

Reprints of publications
  • Up to 3 publications are acceptable for evaluations. The drafts before publication cannot be accepted.
  • Please confirm that the electronic files are not protected by password. Scanning a printed copy of protected reprints is recommended.

Summaries of publications (E)
  • Please place title of the publication, name of author(s), journal and publication year, volume and pages.
  • No more than 1-page each, including figures.

Career summary
  • Please describe career highlights and core competence as a research scientist.
  • No more than 1-page, including figures.
H
Future research plan in AIST.
  • Please describe your research plan in AIST, including short-term outcome (within about 5 years), and future direction and career planning for about 15 to 20 years.
  • No more than 1-page, including figures.
I
Recommendation letter(s)
  • At least 1 recommendation letter should be submitted.
  • The letter must be signed by a recommender.
  • The addressee’s name in the letter should be “President of AIST Kazuhiko Ishimura”.
  • The recommender should list the name of the nominee.
  • The date should be December 1st, 2023 or later.
  • Recommendation letter(s) can also be sent directly to the Personnel Office of AIST by email from recommender(s). In this case, the copy of letter(s) should not be attached in this application document.
  • Please also refer to "Further Notes on I. Recommendation letter(s)" below.
J Declaration Concerning the applicability of “Specific Categories” [PDF]
  • Please review the request letter [PDF] and attach a scanned copy of the signed original to your application.
K GDPR Consent Form [PDF]
*Only applicable person
  • EEA (European Economic Area) residents are requested to submit a consent form following GDPR.
  • Please attach a copy of it to your application documents.
  • EU citizens living outside EEA are not required to submit this form.
L Research plan for positions of “Outstanding Research Scientist”
*Only applicable person
  • Please describe your research theme and research plan as “Outstanding Research Scientist” in AIST within 5 years.  No more than 2-pages, including figures.
  • Please specify the Research Department which is related to your research theme.

Further Notes on I. Recommendation letter(s)
  • An AIST employee is not eligible to be a recommender.
  • Recommendation letter(s) should be submitted in PDF by being attached in application document or sent by email from the recommender.
  • If the recommender intends to send the letter to AIST directly, please ask him/her to send the scanned data to the address below only by email, within the deadline.

4. Selection Process

5. Privacy Notice

  • Information given through any submitted documents, aptitude test and interview examination will be used solely for the purpose of the selection process and human resources training after admission. Please be aware that they will not be returned, regardless of the screening results.
  • All documents including personal data will be handled in compliance with the Country’s relevant law and AIST’s Rules and Regulations. 
  • The personal data transferred from EEA member states will be protected under GDPR.
 

6. For Foreign Applicants

  • Foreign applicants should acquire eligible status of residence by the first day of employment. HR will help you with application process.
  • Eligible status of residence for working at AIST: (1) Researcher, (2) Highly Skilled Professional, (3) Permanent Resident, (4) Long-term Resident, (5) Spouse of Japanese National, or (6) Spouse of Permanent Resident.
  • The status of residence “Professor” is not permitted for working at AIST, and the eligible status of residence should be changed to any of the above listed status.
